Tariff Information

 

In these Terms & Conditions “We/us/our” refers to the Cambrian Coast Evangelical Trust, owners of Olgra, Olgra Bach and Pendorlan, or our appointed representatives, and “You/your” refers to the hirer and the hirer’s guests.
Any dispute will be resolved in the English courts and according to the laws of England and Wales.

Reservations

Due to our residential locations and the primary aim of the CCET, our properties are not available for Stag/Hen/school-leaver parties.

The number of people occupying a property may not under any circumstances exceed the number stated in the property description. (Olgra Bach-12; Pendorlan-18; Olgra-31)

Reservations may be made up to one year in advance. Weekends may not be booked at either end of (or during) school holidays unless and until 6 weeks prior to the date. The minimum period for a booking is 2 nights.

The group leader must be a responsible adult of at least 21 years of age who is staying with their group in the property. The group leader is also responsible for all costs involved in the reservation including loss or damage, as well as the social behaviour of their group.

To make a booking, complete an online booking form and pay a non-returnable deposit.

Payment

Payment can be made in full or by a non-returnable deposit of 25% of the full fee to secure your booking. Details of how and when payments should be made will be provided by our Lettings Manager.  All payment must be made to the Cambrian Coast Evangelical Trust.

The balance of fees and good housekeeping deposit must be received by us no later than 4 weeks before your booking commences. If the balance is not received by the due date, your holiday will be treated as a cancellation.

Bookings made within 6 weeks of the holiday start date must be paid in full at the time of booking.

Prices

Fees are shown on our website. We guarantee that once you have made your booking and paid your deposit we will not increase your holiday price unless you make a change.

Special offers

All special offers are subject to availability at the time of booking and to specific offer terms and conditions. Our offers may be withdrawn at any time, may only apply for a specific period and cannot be combined with any other offer. You must quote the offer code at the time of booking. Special offers will not be applied retrospectively.

Cancellation

Deposits are non-refundable. In exceptional circumstances, and at our own discretion provided more than 4 weeks notice is given, we will consider transferring any monies paid to an alternative date, subject to availability, within the same season. An administration charge of £25 will be payable.

If you cancel within 30 days of your holiday date the full amount of your booking will be payable.*

If you cancel 31-60 days before your holiday, we reserve the right to claim payment of 50% of the cost of your booking.*

* If we are able to re-let the period of your booking, we will refund any monies paid less your deposit.   

If you fail to arrive on the day your holiday commences, or leave earlier than the end date, you will not be entitled to any refund of monies paid.

Arrival & departure

The properties are available from 3:30pm on the day your booking commences.

You should vacate the property by 10am on day of departure.

An earlier arrival or later departure time may be possible, out of season, if agreed with us in advance.

Access

Arrangements for access should be made with the appropriate Property Manager prior to your arrival. Contact details will be provided by our Lettings Manager once your final payment has been received.

Your pet

Well-trained dogs are welcome, but dogs that are specified in the Dangerous Dogs Act 1991 are not permitted. There will be no charge for your dog unless they give cause for additional cleaning. No other pets are permitted without prior consent from the Trust.

Under no circumstances are dogs to be left unattended at the property or allowed above the ground floor of the property. Please walk them outside the boundary of our properties and clean up after them.

Security deposit

A good housekeeping deposit (£250 for Olgra Bach or Pendorlan, £500 Olgra or Olgra and Olgra Bach together) is payable to be held against any loss or damage howsoever caused during your stay.  Your good housekeeping deposit should preferably be paid by cheque which we reserve the right to bank. If all is well, your cheque will be destroyed or refunded within 4 weeks of your departure.

Guests are expected to leave our property in the same state of order and cleanliness in which it is found. Accommodation may be inspected at the end of your stay and any loss or damage will be deducted from your good housekeeping deposit.

Damage to accommodation

Guests are expected to treat our property and facilities with care and respect so that others may continue to enjoy them in the future. You are liable for any loss or damage, howsoever caused, during your stay.

Any accidental damage should be reported to our Property Manager immediately so they can arrange repair or replacement.

If you notice any damaged or missing items on your arrival, please inform our Property Manager immediately. If you do not do so, you may be charged in error.

Bedding and linens

Except for cots, duvets and pillows are provided. You must bring and use your own sheets, duvet covers and pillowcases.  A cleaning or replacement charge will be made for soiled mattresses or bedding.

Please bring your own towels and tea towels.

Your property

We cannot be held responsible for loss of, or damage to, your property. If we find any property you have left behind, we will return it to you for a small charge to cover our costs which must be paid in advance.

Smoking

In line with current legislation, smoking is not permitted anywhere inside the houses. In consideration of other and future guests, please do not smoke within 5 metres of open doors or windows. Guests who smoke are requested to dispose of their butts in an appropriate manner and not to litter the grounds.

Fire Safety

The CCET has carried out a full fire safety risk assessment for the property.  A copy is available in the house folder and on our website.

Evacuation procedures are displayed in our properties and together with fire safety information for group leaders, is in the property file and on our website.

You are responsible for assessing the risks of any activities you run with your group.

Please ensure you and your group know what to do in the unlikely event of a fire.

Anti-social behaviour

Our properties are in residential areas and you are requested to respect our neighbours. We reserve the right to terminate your holiday if the behaviour of any member of your group, (including the use of social drugs, drunkenness and excessive noise), is likely to impair on the comfort, enjoyment or health of others. In such cases, no refund will be given.

Problems

The Cambrian Coast Evangelical Trust will do everything possible to give you an acceptable standard of accommodation. However, if there is a problem, please report it immediately to our Property Manager who will use their best endeavours to resolve it as quickly as possible.
